Our Proven Remodeling SOP: From First Call to Final Walkthrough (Kitchen & Bath, Lancaster–York, PA)
Choosing the right remodeler should feel organized, predictable, and calm. That’s why B&M Home Improvement Solutions uses a documented Standard Operating Procedure (SOP) for every lead—from the first ring of the phone to your one-year tune-up. This step-by-step guide shows exactly how we handle kitchen and bathroom remodeling across Lancaster and York, including two clear paths: (1) Design-Build with our in-house designers, and (2) Build-Only when you bring your own plan or inspiration and we implement it to spec. You’ll see who does what, when decisions are due, how costs are developed, and how we keep your home protected. The goal: a smooth process, clean site, on-time schedule, and a finished space that feels like it was always meant to be there.
Step 1: First Contact & Fit Check (0–1 Business Day)
How you reach us: phone, web form, or email.
What we capture:
Project type (kitchen, bath, or combined scope)
Address (to confirm service area in Lancaster County or York County)
Desired timeline (ideal start and any hard deadlines)
Decision makers (who must approve scope, budget, and selections)
Budget range (we’ll give benchmarks if you’re unsure)
Whether you prefer Design-Build with us or Build-Only using your design/ideas
What you get immediately:
A brief fit check: scope, feasibility, and schedule capacity.
An email with our process overview, sample project ranges, and a link to book your Discovery Call.
Pro tip: If you’re still shaping ideas, that’s fine—our Discovery Call is designed to help you clarify the path.
Step 2: Discovery Call (20–30 Minutes, Virtual)
Purpose: align on scope, budget feasibility, and the right delivery method for your project.
We’ll discuss:
Design-Build vs Build-Only
Design-Build: We lead concept, selections, drawings, permits, and construction.
Build-Only: You bring an existing plan or clear design intent (e.g., cabinet line, fixture list); we estimate, procure (as directed), permit, and build.
Budget frameworks for kitchens and baths in Central PA (economy, mid, premium tiers)
Constraints: e.g., kitchen wall moves, bath plumbing shifts, ventilation paths, electrical panel capacity
Desired experience: speed vs customization, level of finish, accessibility features
Outcome: If there’s a mutual fit, we schedule a Site Assessment and send a Pre-Visit Checklist (photos, inspiration, access details, pets, parking).
Step 3: On-Site Assessment (60–90 Minutes)
Goals: verify existing conditions, collect measurements, and uncover risks early.
What we do on site:
Walk the project area with you; hear your goals in the actual space.
Measure walls, openings, ceiling heights, utilities.
Document mechanicals (shutoffs, vent paths, panel capacity), moisture red flags, framing surprises, and code triggers (e.g., GFCI/AFCI, clearances).
Photo log of before conditions for estimating and schedule planning.
Discuss temporary living logistics (dust control, access, work hours).
Deliverable after the visit:
Path selection confirmation (Design-Build vs Build-Only)
Schematic scope summary and Budget Range Letter with next steps
Step 4A: Design-Build Path — Concept & Budget Alignment (1–3 Weeks)
To start detailed design, we collect a Design Consultation Fee and a simple design agreement. This locks in your spot on our schedule and covers:
Kickoff: You’ll meet your Project Designer and Project Manager (PM).
Concept package includes:
Measured as-built plan
Two concept options (layout alternatives)
Preliminary selections direction (style board: cabinetry family, door style, finishes; bath system direction; lighting layers)
Rough order of magnitude (ROM) budget per option
- Permit-ready drawings upon finalization
Interactive review:
Live markups to lock a preferred layout
Value-engineering notes (where to spend/save)
Decision log with owner actions and due dates
- After concept review, you may request one included alteration to refine layout or selections before we lock the design.
Gate: Approve the concept and ROM to move into detailed design.
One Revision Included:
After you review your concept options, you may request one additional alteration to refine the plan and selections. We incorporate that change, update drawings, and finalize the design package. More alterations can be requested for a fee to ensure your completely satisfied with your decision to move forward.
Credit When You Build:
When you approve our fixed-price proposal and proceed with construction, we credit the full Design Consultation Fee back to you on your contract as a thank-you for choosing B&M.
Result: you lock the design, we can price with maximum accuracy, and you keep momentum without surprise scope changes mid-build.
Detailed Selections & Drawings
Upon completing the one included alteration (if used), we lock the design, issue the Permit-Ready Set, and move to fixed-price proposal for maximum pricing accuracy.
Step 4B: Build-Only Path — Plan Intake & Constructability Review (1–2 Weeks)
If you bring plans or a defined design intent:
We intake:
PDFs/CAD (floor plan, elevations, fixture specs)
Any cabinet schedules, tile patterns, and finish lists
Appliance cut sheets and ventilation specs
Known lead times or owner-supplied (OFE) items
We perform:
Constructability review (framing, clearances, venting, panel capacity)
Risk list (long-lead items, code gaps, details to clarify)
Clarifications RFI back to you or your designer
Gate: Confirm the scope and clarifications so we can estimate accurately.
Step 5: Detailed Selections & Drawings (2–6 Weeks)
For Design-Build:
Cabinetry: box construction, overlay/inset, organizers; door/drawer counts; hardware.
Counters: quartz/granite/solid surface; edge profiles; splash strategy.
Plumbing & Bath Systems: shower system (solid surface or tile), pan/drain, valves, toilets, sinks, ventilation.
Electrical & Lighting: circuit plan; task/ambient/accent layout; under-cab lighting; GFCI/AFCI.
Flooring & Walls: LVP/engineered/tile; waterproofing where required; paint schedules.
Accessibility Options: curbless showers, clearances, grab-bar blocking.
Final drawings: floor plan, elevations, critical sections; scope sheets and room schedules.
For Build-Only:
We convert your design intent into a construction spec package: verified takeoffs, fixture lists, finish schedules, and a final question/answer closeout with your designer (if applicable).
Milestone: A Selections Book (PDF) and Permit-Ready Set (if required) are issued for sign-off.
Step 6: Fixed-Price Proposal & Contract
Included:
Fixed price aligned to your signed drawings and selections
Allowances (if any) clearly listed with unit assumptions
Schedule window and estimated on-site duration
Payment schedule (deposit, progress draws, substantial completion)
Warranty terms (materials & workmanship)
Site protection standards (dust walls, floor protection, negative air if needed)
Change order (CO) protocol: scope, pricing, approval, and schedule impact must be documented before added work proceeds
You’ll see line-of-sight from concept to cost so nothing feels mysterious.
Step 7: Permitting, Procurement & Scheduling (1–4+ Weeks)
Permits & inspections: We submit drawings, track approvals, and slot inspections (framing, electrical, plumbing, insulation, finals).
Procurement:
Long-lead items (cabinets, custom glass, specialty tile) are ordered first.
We date-track every SKU and hold your spot on our master schedule.
Pre-Construction Huddle (PCH):
Meet your Lead Carpenter and PM.
Review daily work hours, parking, pet protocols, and communication cadence (we recommend a quick daily text + weekly recap).
Confirm access (lockbox/garage code) and secure storage for materials.
Step 8: Site Readiness & Protection (1–3 Days)
Dust control: temporary walls, zipper doors, floor protection, return-air covers; air scrubber as needed.
Safety: power cord management, blade-down storage, kid/pet-safe zones.
Staging: designate material zones, incoming inspection table, and waste route.
Photo log: day-zero confirmation of conditions.
You’ll receive a Kickoff Note with the planned tasks for Week 1.
Step 9: Demolition & Rough-In (1–2+ Weeks, Scope Dependent)
Selective demo protecting adjacent areas.
Structural work (headers, wall adjustments) as planned.
Mechanical roughs: plumbing, electrical, HVAC per drawings; blocking for future accessories (grab bars, shower doors).
Rough inspection scheduling handled by our PM.
Build-Only nuance: If you provided specialty specs, we field-verify fitment and raise RFIs early to avoid downstream delays.
Step 10: Substrates, Waterproofing & Insulation (2–5 Days)
Kitchens: wall repairs, backer prep, lighting cutouts, appliance clearances.
Baths: shower pan and waterproofing (solid-surface system or approved tile membrane), backer board, niche framing.
All wet areas: ventilation ducting finalized to exterior.
Insulation/air-seal (bath exterior walls), then inspections if required.
Step 11: Finishes & Fit-Out (2–4+ Weeks)
Cabinetry set and scribe work; countertop template and install.
Tile or wall system in baths; glass measure/install.
Flooring installed per manufacturer specs (acclimation, underlayments).
Lighting & electrical trim, plumbing trim (valves, faucets, disposers).
Paint & millwork: casing, base, crown as specified.
Appliances placed and tested (as contracted).
Punch-ahead: we start a running list before the formal walk.
Step 12: Quality Control, Commissioning & Client Walkthrough
QC Checklist:
Doors/drawers aligned, soft-close verified
Silicone/caulk lines, grout joints, splash terminations
GFCI/AFCI test; appliance test; ventilation CFM
Fixture operation and shutoff labeling
Floor transitions and stair noses
Touch-ups and hardware counts
Client Walkthrough:
Review the punch list together and set completion dates.
Provide care & maintenance guide (tops, floors, grout/silicone).
Deliver warranty and product registry instructions.
Substantial Completion: you sign; we schedule any lingering items (e.g., custom glass delivery) and confirm your preferred time for our 30-day check-in.
Step 13: Closeout Package & 30-Day Check-In
Closeout Package (digital):
Final drawings & selections
Appliance manuals and finish schedules
Permits/inspection receipts
Photo log (before/during/after)
Warranty & service contacts
30-Day Check-In: confirm everything is performing; address settling items (caulk/touch-up) and answer care questions.
Step 14: One-Year Tune-Up (Optional, Recommended)
We schedule a one-year walkthrough to address seasonal movement, adjust hinges, re-silicone critical seams if needed, and ensure the space looks and works like day one.
How the Two Paths Differ (At a Glance)
| Topic | Design-Build with B&M | Build-Only (You Bring the Design) |
|---|---|---|
| Who leads drawings/selections | B&M Designer + PM | You/your designer; B&M verifies constructability |
| Decision cadence | Structured milestones with decision log | We follow your plan; RFIs only where needed |
| Budget control | Iterative (concept ROM → fixed price) | Fixed price once plan/specs are locked |
| Risk & schedule | B&M owns end-to-end coordination | Shared: we flag risks if specs or lead times shift |
| Client time investment | Moderate (curated choices) | Lower during build; higher up front on design/specs |
Either way: you get the same site protection, communication cadence, QC standards, and warranty.
